Fixed asset register and depreciation schedule: free Excel

One line per asset. Change the year and the opening value, this year's depreciation and the written-down value update themselves.

Quick answer

In this free Excel template every fixed asset sits on one line: tag, name, class, location, custodian, purchase date and cost. Choose the class and the rate fills in; change the financial year and the opening value, this year's depreciation, written-down value and accumulated depreciation are calculated on reducing balance or straight line.

Fixed asset register (Excel)Settings, register (1,000 assets), class-wise schedule. Includes 3 sample assets; delete them and add yours.

The template is built from fixed asset working formats used in audits: unit-wise addition break-ups, movement schedules and top sheets. As in real work, every asset is a separate line and the schedule adds up from there.

Policies built in

  • Financial year July to June; enter the year-end in the Settings sheet
  • Full-year depreciation in the year of purchase (a common policy)
  • RB = reducing balance: the rate applies to the written-down value each year; SL = straight line: the rate applies to cost each year
  • Typical class rates are in the Settings sheet; change them to match your accounting policy
If your policy is monthly pro-rata (for example six months' depreciation on an asset bought in January), check one asset in the depreciation calculator first, then tell us and we will adjust the formulas.

From register to financial statement note

The class-wise schedule sheet adds up cost, opening WDV, this year's depreciation, closing WDV and accumulated depreciation for each class. That is the basis of the fixed asset note in the financial statements. Assets sold or scrapped during the year need to be shown separately; the template keeps that part simple.

The verification column

At year-end, inspect the assets and choose in the verification column: OK, moved, not found, idle/damaged. That column shows the auditor that a physical verification took place. With many assets or several units, verifying by phone with QR tags is much faster: see the live demo.

Frequently asked questions

How do I keep tax depreciation separately?

Take a copy and enter the income tax rates in its Settings sheet. The difference between the two files' closing WDVs drives the deferred tax calculation.

What about land?

Land is not depreciated, so its rate in Settings is 0.

Does it work in Google Sheets?

Yes. Just check once that the drop-downs and colours came through.
