Customer dues ledger in Excel: free template

Who owes you how much and when they last paid, at a glance, with old dues in red.

Quick answer

In this free credit ledger you list your customers once, then record each transaction as "credit given" or "payment received". Each customer's total credit, total payments, balance due and last transaction date are calculated automatically. Balances older than 30 days turn red, so you know whom to call first.

Customer dues ledger (Excel)Rows for 200 customers and 2,000 transactions. Customer names come from a drop-down.

The biggest problem with a paper credit book is that one customer's entries spread across many pages. Adding up who owes what at month-end takes time, and old balances get missed.

How to use it

  1. In the Customers sheet, enter each customer's name and phone once. Do not repeat a name; add an area if needed (e.g. "Rahim, Bazar Road")
  2. In the Transactions sheet, enter the date, pick the customer from the drop-down and put the amount in the right column
  3. Go back to the Customers sheet to see balances; collect the red ones first

A few rules that reduce bad debts

  • Set a credit limit for each customer and stop new credit once it is reached
  • Once a week, call or message everyone on the red list
  • Message the customer the amount when you give credit; it avoids arguments later
  • Record old balances that will never be collected separately; they are a loss in your profit calculation

For wholesale and distribution businesses

With many customers, or when collections must be matched to invoices, Excel becomes hard. Then you need books with party ledgers and an ageing report. See monthly bookkeeping, or for complete shop accounts the Excel ERP.
