In this free Excel template the member list, every savings deposit and every loan and instalment go on separate sheets. The member sheet calculates each person's total savings, total loans, instalments paid and loan balance. The summary sheet shows the group's total savings, loans outstanding and how much should be in hand or at the bank.
In a savings group (called a samity in Bangladesh), the trouble usually comes at the meeting: a member says they paid an instalment and the book does not show it. When every transaction is on its own dated line, those arguments shrink.
The sheets
| Sheet | What you enter | What it shows |
|---|---|---|
| Members | Member number, name, phone, monthly savings amount | Total savings, total loans, instalments paid, loan balance |
| Savings deposits | Date, member number, amount | — |
| Loans | Date, member number, type (loan given / instalment received / service charge), amount | — |
| Summary | Nothing | Members, total savings, loans outstanding, service charge income, cash that should be in hand or at the bank |
How to keep it balanced
Every month, compare the summary's "should be in hand or at the bank" figure with the group's bank balance plus the cashier's cash. If they differ, check that month's deposits and instalments against the receipts.
- Give a receipt for every deposit and instalment and write the receipt number in the note column
- Keep the cashier and the secretary as two different people
- Print the summary sheet at every meeting and show it to everyone
For registered cooperatives
Societies registered with the Department of Cooperatives have their own rules for annual accounts and audit. This template is for day-to-day records. For annual accounts or a larger society's books, see monthly bookkeeping.
Frequently asked questions
How do I record service charges or profit?
In the Loans sheet choose the type "service charge" and enter the amount collected. It appears as income in the summary.
How is profit shared among members?
By the group's own rules. Usually the year's service charge income minus costs is shared in proportion to members' savings. The members sheet's total savings column gives the proportions.
What if a member leaves?
Keep the name in the members sheet and note the leaving date. When you return their savings, enter a negative amount (e.g. -5000) in the savings sheet.
