In this free Excel template you enter one line a day: cash sales, credit sales, collections of old dues, purchases, shop expenses and bank deposits. Cash in hand is calculated automatically. Pick a month in the monthly summary sheet to see total sales, purchases, expenses and estimated profit.
With a paper notebook, adding up the month takes half a day, and when there is a mistake you cannot find where. In this template you just type; Excel does the arithmetic.

What to enter in each column
| Column | What to enter |
|---|---|
| Date | The day's date |
| Cash sales | Cash sales for the day (including bKash and Nagad receipts) |
| Credit sales | Sales on credit; record who owes what in the customer dues ledger |
| Collections | Money received against earlier credit |
| Purchases (cash) / Purchases (credit) | Stock bought, cash and credit separately |
| Shop expenses | Rent, electricity, staff wages, tea and snacks, transport |
| Bank deposit | Cash moved from the shop to the bank |
| Cash in hand | Calculated automatically; count the cash at closing and compare |
Making the profit figure more accurate
Sales minus purchases and expenses is not true profit, because goods bought this month are not all sold this month. So enter the estimated stock value at the start and end of the month in the summary. Then cost of goods sold = opening stock + purchases − closing stock, and profit = sales − cost of goods sold − shop expenses.
Three small habits
- Enter the day's line in five minutes before closing; do not leave it for tomorrow
- Count the cash and compare it with "cash in hand"; if it does not match, look into it the same day
- Do not record the owner's personal spending as a shop expense; keep it separate
